How to prepare for a meeting
Every successful project is based on a foundation of planning.
Here are seven tips that will make your next meeting a success.
1) Involve key stakeholders in the preparation of agendas for meetings that deal with complex and controversial issues. Your agenda will then have their approval because they have helped to create it.
2) Set a policy surprises. Insist that people talk about new information, discoveries, events, or as soon as possible. This will help you to avoid calling a meeting to work on issues that were resolved or have a different scope from what you expected. Protects also be attacked by surprise.
3) Inform the participants on major new policies, solutions, or programs before the meeting. People resistant to sudden changes. In this way, giving them time to familiarize yourself with new problems before the meeting. If necessary, schedule the meeting at a later date to allow people to prepare for new issues.
4) Solicit volunteers before the meeting. People are often reluctant to volunteer for new tasks without knowing what's involved in their participation. Advance information allows participants to study your requirements and work in their programs.
5) If you plan to include a presentation at a meeting, write the objective for this submission. So make sure to inform the speaker of this goal and what you expect from your presentation. Provide supporting information that will help the speaker as a description of the public interest or arrangement with the theme and the key issues to include or avoid.
6) I invite those who are scheduled to make a presentation to test their preparedness. Ask if they felt the presentation. Moreover, they recall the time allotted for their presentations.
7) If necessary (or possible), the presenters preview their presentations with you before the meeting. In this way the practice for them and gives you the ability to request changes.
